Manage your Aviary Study Club

Accessing the Aviary Portal

To manage your Aviary Hygiene Study Club, start by logging into the Seattle Study Club portal:
🌐 portal.myseattlestudyclub.com

  • Use your admin login credentials.
  • If you don’t remember your password, click “Forgot Password” to receive a reset link.

Section 1: Manage Your Roster

The first step in managing your Aviary Study Club is ensuring your roster is accurate and up to date. The layout and functionality mirror what you’re already familiar with from managing your Doctor Study Club, making the process feel intuitive and consistent.

Step 1: Navigate to Your Aviary Club

  • Once logged in, hover over “Club Management” in the top navigation bar.
  • Select “Manage Aviary Club.”

Step 2: Review and Update Member Information

  • Once inside your Aviary dashboard, you’ll see a list of all current members.
  • Confirm that each member’s contact information (name, email, address) is accurate.
  • To make updates:
    • Click the Edit button located at the bottom left corner of the screen.
    • Make the necessary changes and save your updates.

⚠️ Keeping member info current ensures they receive login credentials, CE tracking, and updates without issue.

Step 3: Add New Members

Option 1: Add Members Manually
  • Click on the “Add a New Member” tab.
  • Enter all required information (name, email, address, etc.).
  • Click “Save” to add them to your club.
Option 2: Use the Self-Registration Feature
  • Click on the “Self-Registration” tab.
  • You’ll find your club’s registration link and access code.
  • Email both the link and code to the members you wish to invite.
  • Members can then self-register and will be automatically added to your club.

⚠️ When copying and pasting the access code, make sure there are no extra spaces before or after. Extra spaces will cause the code to fail.

Once a member is successfully added—either manually or via self-registration—they will automatically receive a welcome email with login instructions and a link to access the portal.

Section 2: Manage Your Events

Scroll to the middle of the page to view your list of Aviary events. To view session details, click on the event from the list.

⚠️ Event dates and times should not be changed. All Aviary sessions are scheduled as live events and will not be recorded.
If you’re hosting an in-person session, be sure to pay close attention to the assigned date and time to ensure your club meets accordingly.

If your club is not hosting in-person sessions, we recommend not making any edits to the event details.

If you are hosting in person, there are three key fields you’ll need to update:

Fields to Update for In-Person Events

  1. Eligible CE Credits
    • If your group plans to extend the discussion, adjust the number of CE credits. This will reflect on the member’s CE certificate.
  2. Hosting Type
    • Change from “Webinar” to “In-Person.”
    • This disables remote access and encourages local attendance.
  3. Location
    • Add the physical address so members know where to go.

Step 1: Edit an Existing Event

  • Navigate to the “2025–2026 Events” tab.
  • Find your session in the list and click on it to open the details.
  • Make updates only if you’re hosting the session in person (see above).
  • Click “Save” once your changes are complete.

✨ All Aviary events are preloaded for your club. There is no need to create new events.

Step 2: Manage CE

At the completion of every session, members are responsible for submitting their CE through the Club Connect portal.

Step-by-step directions on how to submit CE:

As the club manager, you can track CE submissions and attendance for each event:

  • In the top right-hand corner of the event screen, look for the “CE Units” box.
This displays which members have submitted CE for that session.
  • Directly below, you’ll find the “Attendees” section.
This shows the full list of members marked present for the event.

These tools help you keep track of who attended and who submitted CE, making post-session follow-up easy and efficient.
